Student does not confirm supervisor

The reflection and assessment system will automatically solicit from the student the name and email address of their supervisor. The listed supervisor will then be prompted by the system to either confirm or deny their role as supervisor for the placement. This process will require that the supervisor have an account on the reflection and assessment tool. Once an account is set up, the supervisor will be able to use it for all current and future placements. Therefore, existing supervisors will simply be asked to login in order to confirm placements and new ones will be asked to sign up. The system will send the appropriate instructions to the supervisor depending on whether they have an account or not. 

Ideally, the process described above is entirely self-service and does not require intervention from staff. However, several things could require intervention by staff. Below are listed these events and how to address them:

  1. Student does not confirm supervisor
    1. This is the first step in the process and if it is not completed, the proper supervisor may never be listed on the placement record. By default, the system will enter in the job contact as the supervisor. Because the job contact is not always the supervisor, students are asked to confirm or replace this value. If the student ignores this prompt, the placement will show as “student not confirmed.” 
    2. You can quickly identify the student not confirmed population under Supervisors on reflection and assessment. For a given term and coordinator, click on Quick Filters > Student Not Confirmed
    3. You can select all or some of the students using the check box at left. Then, you can select Email Selected and from the drop down menu choose the Reminder to Confirm email.
    4. Alternatively, you can click on the Manage link next to each placement. This will allow you to manually edit the audit details. For more information about manually editing placement details, view the audit section below

    1. If student confirms, it is still possible the supervisor will not confirm in turn. This is because the listed supervisor is incorrect or the the correctly listed supervisor did not respond to the prompt to confirm.
    2. To identify the relevant list of supervisors, use the Quick Filter > Employer Not Confirmed (this will bring up placements where the student has confirmed but the employer has not. If neither have confirmed, they will show up under Student Not Confirmed.) 
    3. Click on Manage to view the supervisor details for the placement
    4. Under Available Actions you can choose to confirm the supervisor manually or send a request to the supervisor to confirm (if the supervisor does not have an account, you cannot manually confirm. Your only option will be to send an email that will prompt the supervisor to sign up for an account and confirm.)
    5. If the supervisor is incorrect, you can change the details using the Audit tab

Automated Offer

The automated offer tool provides employers the convenience of making co-op offers to students through NUcareers. As with traditional offers, employers interview candidates and then select those to whom they would like to extend offers. However, the advantage of utilizing this system is that students will be notified electronically of their offers and students will, through the automated tool, accept or decline offers within 48 business hours. Employers can rank up to 10 candidates for one opening, and offers will be sent consecutively and automatically, based upon whether the previous offer was accepted or declined.
 
To use the automated offer tool, you must specify on the job form that you would like to,  using the initial question, pictured here:
 
Once applications roll in for an enabled posting, you’ll have to follow the following steps:
 

1)   Log in to NUcareers

2)   Review applicants to a job

2)   Set the application status of certain applicants to “Selected for Interview”;

3)   Expire the job posting

4)   Ranks those “Selected for Interview” in numerical order of hire-preference.

The number of “#1” rankings the employer assigns to interview-selects should always equal the number of openings available for the job title.  There can only be one #2, #3, #4, etc. ranking for the balance of interview-selects.

If an applicant you’ve selected accepts your offer, you’ll receive an email notification. You will also be able to view the placement record upon viewing the job on your dashboard.

Repost and Edit

You can re-post a job listed under your account to be offered again in a future term.

Click either ‘Cooperative Education’ or ‘Career Development’ in the main left navigation to see a list of your previous postings in that module. From your list of postings, click the ‘Repost’ button to being. Note that for jobs that are still active, the ‘Repost’ button will be labeled ‘Copy Posting’.

If you would like to change details in the posting before offering it for the new term, select “Repost and Edit.”

Next select the term to re-post to and enter an application deadline.

You will then be allowed to adjust the settings on this posting. After you are finished editing the post, click on “Submit” at the bottom of the form. 

Your new posting will be directed to a Northeastern co-op coordinator for review and approval. Once approved, it will be accessible to students.
