- How do I log onto Coeus?
Visit http://coeus-web.neu.edu/coeus/ and enter your myneu username and password to complete authentication.
- How can I see my proposal?
To view your proposals, log onto Coeus. From the top horizontal navigation click on the "My Proposals" link.
- Which proposals can be submitted to Grants.gov via Coeus?
All proposals that are eligible to be submitted to agencies via Grants.gov are eligible to be submitted through Coeus. Unless otherwise specified in an NSF solicitation, applications to NSF may be submitted via use of Grants.gov/Coeus. Please note that simultaneously submitted collaborative applications must be submitted via FastLane as Grants.gov does not currently support this functionality. In addition, sponsor specific forms not used by "primary" research funding sponsors may not be available in Coeus, causing the proposal to be ineligible for system to system submission via Coeus.
- What are the advantages of using Coeus?
A key advantage of COEUS is to provide a single platform for the submission of all proposals. It eliminates the need for principal investigators and administrators to sign on to, and be proficient, with multiple systems. The single track process eliminates the possibility of error/confusion inherent with a multi-track process. Additionally, since COEUS is now the routing and approval process for all proposals a complete proposal is required to obtain the necessary approvals. Lastly, COEUS is the system of record for the University's proposal activity. In order for the system to be accurate all proposals need to be processed through COEUS.
Proposal Development
- Why do I need to Answer all of these Yes and No Questions?
The Yes/No questions have two important uses in COEUS: The first use is that COEUS uses the answers to those questions fill in required fields in your application. For example if you answer "No" to Code G6 , Historical Sites are Affected the appropriate box on the SF424 will be filled in. Please note that not all of the questions will relate to every application; many questions are agency specific and only apply to applications submitted to a specific agency. Future enhancements to COEUS will make the Yes/No questions "smarter" and will only ask questions related to the specific application/agency. Secondly, the Yes/No questions allows for the flagging of important compliance sensitive topics such as hazardous materials and important internal considerations like space requests. Please note the Yes/No questions are not a substitute for the Special Review page. For example if you enter Yes to a potential impact on the environment you should be selecting Environmental Health and Safety on the Special Review page. Future enhancements of COEUS will make the integration of Yes/No and special review more seamless.
- Where does my eRA Commons/NSF ID go?
There is no separate box for the eRA Commons or NSF ID. If you are submitting to NSF, please put your ID in the "Agency Credentials" field box located at: Investigators/Key Persons, Agency Credentials field, or Investigators/Key Persons, Details link, Agency Credentials field. If you are submitting to NIH, your eRA Commons user name should be inserted in the same Agency Credentials field.
- How can I copy a proposal?
To copy a proposal, navigate to the "My Proposals" link, select the proposal that you would like to copy and when you are brought to the main info page scroll to the bottom of the page and click the "Copy Proposal" link to copy the proposal. You will be asked whether or not you would like to copy the budget as well.
- When should I submit my proposal for routing?
Proposals should be routed for approval no later than 5 days before the deadline of a proposal. All PI's still have to adhere to the 5-Day rule. At the grant officer's discretion, an exception to the 5 day rule may be permitted, allowing for only the final science to be submitted after this period. Proposals that are routed fewer than 5 days before the deadline will require completion of the PPF Addendum if the proposal is not in its final state within 48 hours of the deadline.
Budget Questions
- Why doesn't the budget in Coeus match my Excel spreadsheet?
a. COEUS uses complex algorithms to compute salary, raises, and inflation in real-time on the date they would actually occur. COEUS will escalate salaries on July 1 of each budget year; a level of detail that had not been the norm at Northeastern. For example, a budget with a start date of March 1 would not normally apply escalation until year 2 of the project and the salary increase effective July 1 of year 1 is not calculated. COEUS calculations ensure that escalation occurs even if the escalation is in the middle of a budget year.
- How do I split credit between two departments?
To manage credit splits in Coeus, navigate to the "Credit Split" link from the left side navigation. The total credit for all investigators must equal to 100%. If an investigator is listed under more than one unit, the total for all units under each investigator must equal 100%.
- How do I adjust the budget periods on my proposal?
Budget periods in can be edited directly from the Budget Pages in Coeus Lite. From within your proposal navigate to the "Budget" link and under Budget Set Up select "Adjust Periods". From here you can add, remove, and modify budget period dates as necessary. Keep in mind that this is different from changing the Start and End Dates of a proposal from the "General Proposal Information Page".
- How do I upload the R&R Subaward budget form?
Coeus Premium must be used to upload and submit the detailed RR Budget form for Subawards via Grants.gov. Please contact your Grant Officer for assistance.
