How To: Search for email larger than 35MB

Outlook 2010 or 2013 (Windows)

In your list of folders, scroll down to “Search Folders” (will be alphabetical in your folder list). Right-click, and select “New Search Folder.”

Select “Large Mail” from the list, and click the “Choose” button.

Change the number to “35000 KB” and click OK.

You will now have a subfolder in your folder list that will contain any email that size or larger.

  • If you do not have any, the folder will be empty.
  • If you do have email in that folder, determine whether you need to save the message(s) and any attachment(s). No email that size will be migrated to your Office 365 Outlook mailbox.

NOTE: This process does NOT search archived mail, and the size limit is not applicable to archived mail PST files, as those files are stored on your local computer and are not part of the migration.


Outlook 2011 (Mac)

From Outlook, click the search field in the upper right of the window.

Click the All Mail button, and then Advanced to drop down the search criteria.

In the first pulldown, change “Item Contains” to “Size.” In the second, change “Is” to “Greater Than.” And in the text box enter 35000.

  • If you do not have any, the folder will be empty.
  • If you do have email in that folder, determine whether you need to save the message(s) and the attachment(s). No email that size will be migrated to your Office 365 Outlook mailbox.

NOTE: This process does NOT search archived mail, and the size limit is not applicable to archived mail OLM files, as those files are stored on your local computer and are not part of the migration.


Outlook Web App (OWA) 2010

In your OWA Inbox, click the arrow next to “Filter” and select “Attachments” from the dropdown. Then Click “Apply.”

If you DO NOT have any emails in the resulting view, then you do not need to go any further for your Inbox. You do need to perform the same check in every folder you do not intend to clean our before your migration.

If you DO have emails in the resulting view, under the search bar check the “Arrange by…” choice. If it is not “…by size,” click the arrow next to it and select “Size” from the dropdown.

Under the search bar, also check whether it says “Smallest on top” or “Largest on top.” If it says “smallest,” click the words to change it to “Largest on top.”

  • If you have emails that are larger than 35MB, determine whether you need to save the message(s) and the attachment(s). No email that size will be migrated to your Office 365 Outlook mailbox.
  • You must perform the same check in every folder you do not intend to clean our before your migration.

Mac Mail (IMAP)

Within your client, select Mailbox > Smart Mailbox to create a search for all email with attachments.

Set the conditions to “Contains attachments” and check the box to include your Sent folder.

Once that mailbox exists, sort mail within it by size to determine whether you have any that are larger than 35MB.

If you do, determine whether you need to save the message(s) and the attachment(s). No email that size will be migrated to your Office 365 mailbox.
