Editorial Assistant - Textbook Publishing
Provides administrative, clerical and editorial support to editors and project managers to ensure timely delivery of materials to clients, writers, editors, and vendors. Entry level position often used as the first point on a professional career path in Editorial production:
- Provide editorial quality control functions by following checklists and standardized procedures according to established style guide.
- Review and copyedit manuscript written by freelance writers for clarity, accuracy, and appropriateness to assure content quality.
- Perform clerical functions for department, such as shipping, copying, filing, logging and coding invoices, counting art, and logging and distributing mail.
- Accurately maintain physical records of incoming and outgoing materials as they are trafficked between clients and vendors; these materials include raw manuscript, multiple "passes" of pages, specifications and other related material.
- All other work-related duties as assigned by supervisor.
Qualifications:
- Strong written and oral communication skills; demonstrated knowledge of grammatical usage and standard editorial style.
- Ability to analyze complex processes and make appropriate plans to accommodate the needs of each project.
- Demonstrated organizational and tracking skills with attention to detail.
- Demonstrated ability to work independently in a fast-paced multi-tasking environment while maintaining quality and schedules.
- Working knowledge of computers, word processing, spreadsheets, copy machines, calculators and business systems.
- Demonstrated ability to prioritize tasks, and distinguish the important from the urgent.
- Ability to get along well with and support a variety of people.
- Some experience in a publishing or production environment (preferably textbooks), with some knowledge of project coordination helpful.
Public Relations Assistant
Assisting six Account Executives in the day-to-day operations of a busy, fast paced public relations department.
Daily duties include:
- Scanning newspapers for articles pertaining to our clients.
- Photocopy and fax to clients.
- Distribute press materials via mailings, messenger service and overnight delivery services.
- Maintain promotions storage area.
- Log in all incoming publicity and promotional materials, coordinating outgoing shipments, updating Account Executives on status.
- Market research through phone calls and internet searches to locate upcoming events and/or organizations that could be utilized for promotional activities.
- Provide general office support including phone work, faxing, and filing.
Qualifications:
You should be a responsible and self-motivated person with a genuine interest in the fields of advertising, public relations, marketing and entertainment. You should have excellent communication skills, be able to get along well with others, work well in group settings and demonstrate an ability to manage multiple tasks. You should be confident in your abilities and not afraid to ask questions!!
Documentation Specialist
The Documentation Team Co-op/Intern researches, writes, and updates hardcopy and online content. Aimed at enhancing the usability of company documents and training, the co-op/intern divides time between individual and team projects using:
- Creativity
- Organization
- Writing skills
Position Responsibilites
This position primarily involves creating content for a variety of documentation and training projects, including:
- Writing and editing procedures, reports, manuals and training materials
- Compiling data
- Creating charts
- Editing images
- Training room organization and PC testing
- Loading practice activities into company software
- Compiling information for our quarterly meetings from our survey software
- Updating training schedules
- Preparing case studies from production material and/or systems for New Hire training
- Tracking trainer's progress and creating reports (Metrics)
Position Requirements
The Co-op/Intern must write clearly and concisely, have strong communication skills, and the ability to interact with all levels of the company. The Co-op/Intern must have experience with Microsoft Office, especially Word, Excel and PowerPoint. The Co-op/Intern must be responsible, professional, and respond well to deadlines.
