Event Classification Checklist
Students or student groups should work with their program manager and/or advisor in making a determination on how their event should be classified. Below is a description of each classification as well as a checklist to ascertain which classification the event falls under.
If an event is determined to be internal, students or student groups can proceed with planning and reservations in conjunction with their program manager. The Office of External Events & Conference Housing will only be involved in a consulting capacity to the program manager.
If an event is determined to be external, the student or student group through their program manager, will work with the The Office of External Events & Conference Housing to plan the event. All external events, meetings or conferences require a contract, certificate of insurance, and space rental fees.
If an event does not fit neatly into either external or internal then an individualized plan will be developed. Based on the event details, the program manager and the The Office of External Events & Conference Housing will determine whether a contract, certificate of insurance, or space rental fees will be required. In some cases, consultation with University Counsel and Risk Services will be necessary.
Internal Event Checklist
(T or F) This event is being planned and promoted (from concept to execution), exclusively by a University department or recognized student organization.
(T or F) This event is being paid for by a university department or recognized student organization.
(T or F) This event supports the university’s/the host department’s/ the student organization’s mission and objectives.
(T or F) This event would not take place elsewhere if it were not for Northeastern University and the host department or student organization.
(T or F) Only members of the NU community (faculty, staff, students) will be present at this event
(T or F) There is no fee associated with participating in this event
An internal event is one where all of the above statements hold true.
If the response to one or more of the above statements is false, but it still seems as though an event should be internal, please ask a Campus Activities program manager to contact the The Office of External Events & Conference Housing as soon as possible to discuss specific details and unique circumstances.
Example: Regional and National Conference bids do not meet internal event criteria. Although it is important to the university to bring these events to campus, they clearly would happen elsewhere if NU were not involved.
