Bylaws  

Article 1:

Name
The name of this organization shall be the Chemistry Graduate Student Association of Northeastern University; hereafter referred to as GSA.

Article 2:

Purpose
To encourage scientific and social interaction amongst Chemistry graduate students and to support them in their pursuits of advanced degrees in chemistry.

Article 3:

Membership
Membership will be open to all students.

Article 4:

Officers
The officers of the GSA shall be President, Vice-President, Treasurer, Secretary and 7 General Executive Officers.
All officers must be full-time graduate students at Northeastern University.
One set of officers will be elected to represent the GSA for each academic year. Elections will be held each Spring.

Article 5:

Advisor
The advisor to the club must be a full-time faculty or staff member at Northeastern.
The advisor will be an ex-officio, non-voting member on all committees of the organization.

Article 6:

Executive Committee
The executive committee shall be composed of all elected officers, and shall meet at least once per month

Article 7:

Resignation
The resignation of an officer should be given in writing at a meeting at least two weeks prior to the time said resignation goes into effect.

Article 8:

Interpretation
Any conflicts in interpretation of the Constitution or bylaws will be decided by the Executive Committee.

Article 9:

Amendments
Any GSA member may propose an amendment to the Constituti in writing to the Executive Committee.
A meeting of the entire GSA proposing the amendment will be called at least one week in advance.
A % majority of all present members is necessary to invoke the amendment.

BY LAWS

Article I:

Organization Setup
The GSA will consist of Executive Committee and Members.
Official club meetings will be held at least once per semester in a place to be determined and advertised at least one week prior to the said meeting. Official votes and election may take place only during these general meetings.
The GSA shall be governed by Robert's Rules of Order, newly revised, except in matters specifically provided for by the GSA Constitution and Bylaws.
The term of office for officers will be one year beginning one week after Spring elections.

Article II:

Duties of the Executive Officers and Committees

  • President
    • Duties:
      • The President shall be in charge of the overall direction and operation of the entire GSA
      • The President shall conduct all GSA meetings and special projects unless specifically assigned to others
      • The President shall represent the GSA to outside agencies
      • The President shall be the chairperson of the Executive Committee
      • The President shall form committees as necessary and appoint all committee chairpersons
  • Vice-president
    • Duties:
      • The Vice-president shall help to accomplish all goals set pertaining to the communication, image and overall welfare of the GSA.
      • The Vice-president shall act as president should the president be temporarily unable to serve, absent, or upon the request of the President
  • Treasurer
    • Duties:
      • The Treasurer shall be responsible for the organization and bookkeeping duties of the GSA moneys and other duties assigned by the President.
      • The Treasurer shall maintain regular communication with the Department of Chemistry and Chemical Biology’s Supervisor of Chemical Facilities.
      • The Treasurer shall give reports at the GSA meetings as to monetary disbursement, income and balance.
      • The Treasurer shall prepare all budget requests and spending reports as necessary during the fiscal year.
  • Secretary
    • Duties:
      • The Secretary shall keep minutes of all GSA meetings and Executive Committee meetings and distribute said minutes.
      • The Secretary shall handle all correspondence of the GSA.
      • The Secretary will be responsible for maintaining a membership roster with contact information and providing Student Activities Office with current officer’s information each semester.
      • The Secretary shall maintain a collection of photographs of GSA activities.
      • The Secretary shall keep the graduate student bulletin board updated and current.
      • The Secretary shall provide for the maintenance of the GSA website.
      • The Secretary shall perform all duties as assigned by the President.
  • Teaching Assistant Representative
    • Duties:
      • The Teaching Assistant Representative (TAR) shall be appointed by the President from the members of the Executive Committee Officers.
      • The TAR shall serve as a liaison to the Department of Chemistry and Chemical Biology (hereafter referred to as the Department) faculty on all GSA member TA appointments and concerns.
      • The TAR shall represent the GSA at all Department of Chemistry Teaching Assistant Committee meetings.
      • The TAR shall perform all duties as assigned by the President.
  • Curriculum Representative
    • Duties:
      • The Curriculum Representative (CR) shall be appointed by the President from the members of the Executive Committee Officers.
      • The CR shall serve as a liaison to the Department faculty in the matter of student concerns regarding the Chemistry Graduate academic curriculum
      • The CR shall represent the GSA at all Curriculum Committee meetings.
      • The CR shall perform all duties as assigned by the President.
  • GSA Award Committee
    • Description and Duties
      • The GSA Award Committee (GSAAC) shall consist of a Chairperson, two additional members who will serve for a one year term and an unspecified number of associate members of variable terms.
      • The Chairperson shall be appointed by the President from the members of the GSA Executive Committee.
      • All other members shall be appointed by the Chairperson.
      • The Chairperson of the GSAAC shall oversee all activities of the GSAAC.
      • The Chairperson shall preside over all meetings of the GSAAC.
      • The Chairperson of the GSAAC shall periodically or at the request of the President report to the GSA on GSAAC activity.
      • The Chairperson of the GSAAC shall meet with the Chairperson of the Department to review the nominations and accept the comments of the Department Chairperson.
      • The GSAAC shall be responsible for communicating with the members, information related to the GSA Award.
      • The GSAAC shall be responsible for collecting nominations from the members.
      • The GSAAC shall provide the GSA Executive Committee with a final list including descriptions of the nominees.
      • The GSAAC shall provide a financial report to the GSA Treasurer each year.
  • Social Committee
    • Description and Duties
      • The Social Committee (SC) shall consist of a Chairperson, two additional members who will serve for a one year term and an unspecified number of associate members of variable terms.
      • The Chairperson shall be appointed by the President from the members of the GSA Executive Committee.
      • All other members shall be appointed by the Chairperson.
      • The Chairperson of the SC shall oversee all activities and preside over all meetings of the SC.
      • The Chairperson of the SC shall provide updates of SC activities to the GSA as requested by the President.
      • The SC shall be responsible for organizing all GSA social activities.
  • Colloquium Committee
    • Description and Duties
      • The Colloquium and Seminar Committee (CC) shall consist of a Chairperson, Scheduler and at least three additional members, one from each of the Department’s divisions: Analytical; Physical; Organic.
      • The Chairperson shall be appointed by the President from the members of the GSA Executive Committee.
      • All members of the committee are to be appointed by the Chairperson.
      • The CC shall organize represent the GSA in all Department Colloquium Committee meetings.
    • Duties of the Chairperson
      • The Chairperson will coordinate the colloquia with the Faculty Advisor.
      • Appoint graduate students to assist with the duties of the CSC.
      • Schedule and hold weekly meetings of the Committee when needed.
      • Assemble a list of potential speakers from faculty and student suggestions.
      • Send out invitations to speakers.
      • Manage the budget and report to the Department Chairperson.
      • Meet with the speakers as needed during their visit.
      • Introduce speakers as necessary.
      • Prepare a power point informational slide on the speakers for the Department announcements screen.
      • Provide for proper advertising of the speaker.
      • Assist the Seminar Instructor of Record with the organization and scheduling of the student seminars.
      • Communicate the seminar schedule and any modifications thereof to the chemistry graduate students.
      • Introduce the student speakers in the absence of the Instructor.
      • Promote student attendance at all colloquia and seminars.
    • Duties of the Scheduler
      • Contact the speaker once they have accepted the invitation.
      • Arrange for the speaker’s hotel accommodations during their visit and forward the reservation information to the speaker.
      • Arrange for transportation or directions to the University for the speaker during the visit.
      • Arrange lunch reservations for the speaker and invited faculty and students.
      • Prepare a meeting schedule for the speaker and faculty in coordination with the Faculty Advisor.
    • Duties of the Additional Members
      • Attend and provide input at the scheduled meetings.
      • Assemble and publicize a monthly list of outside colloquia, meetings and lectures of interest to the graduate students.
      • Assist the Chairperson and Scheduler as requested.
  • Admissions Committee
    • Description and Duties of the Admissions Committee
      • The Admissions Committee (AC) shall consist of a Chairperson and an unspecified number of additional members who will serve for a one year term.
      • The Chairperson shall be appointed by the President from the members of the GSA Executive Committee.
      • The additional members shall be appointed by the Chairperson.
    • Duties of the Chairperson
      • The Chairperson shall represent the GSA at all meetings of the Department Admissions Committee.
      • The Chairperson shall meet with prospective students.
      • The Chairperson shall assist the Faculty Graduate Student Coordinator to organize the Department Open House for Prospective Graduate Students.
      • The Chairperson shall perform all duties as directed by the President.
      • The additional members shall assist the Chairperson as needed.
  • Fund Raising Committee
    • Description and Duties of the Fund Raising Committee
      • The Fund Raising Committee (FRC) will be responsible for the fund raising activities of the GSA.
      • The Chairperson shall be appointed by the President from the members of the GSA Executive Committee.
      • Additional members shall be appointed by the Chairperson.
    • Duties of the Chairperson
      • The Chairperson shall coordinate and supervise fund raising activities.
      • The Chairperson shall preside over all meetings of the FRC.
      • The Chairperson shall report to the Treasurer on all receipts and expenditures of the FRC.
      • The Chairperson shall perform all duties as directed by the President.
      • The additional members shall assist the Chairperson as directed.

    Article III:

    Election of the Executive Committee

    • Annual Elections shall be sufficiently publicized to all members.
    • The election process will take place during spring semester.
    • GSA members may nominate themselves or others in writing for any office up until 1 week before elections.
    • The executive committee shall present the slate of candidates to the current membership.
    • Nominations maybe made from the floor of the election meeting and added to the slate.
    • Elections will take place by secret ballot at the GSA general meeting.
    • A nominee is voted into office with a simple majority vote of present members.

    Article IV:

    New Business

    • All new business to be presented to the Executive committee must be submitted to the President prior to the said presentation.

    Article V:

    Vacancies

    • If, by any reason, a vacancy shall occur on the Executive Committee prior to the annual election, a special election will be held to find a replacement to serve out the duration of the present term.
    • The candidate(s) in this special election shall be elected by a simple majority vote of members present at the meeting.
    • Nominations maybe made from the floor.

    Article VI:

    Removal

    • Failure to meet responsibilities as set forth in the by-laws and by the President shall constitute sufficient grounds for removal from office.
    • Any member of the GSA bringing charges against a member of the Executive Committee for the purpose of removal from office shall present these charges in writing at an official GSA meeting.
    • Members of the Executive Committee shall be relieved of their office by a majority vote of the present GSA members.
