Directions - Temporary Non-Student Employee Hire

NOTE: All forms can be found on the Human Resources Resources and Forms website

1. Complete the education and employment verification and reference checks process prior to making a tentative offer.

2. Unit sends HRM Compensation (Susan Batutis) a brief job description with cover e-mail along with account number and pay rate to approve position.

  • Hourly rate over $29.99 requires HRM Compensation approval.
  • Hourly rate over $49.99 requires HRM Compensation and Provost approval.

3. Once approved (sent via e-mail), unit looks up the position number under applicable account number (on the HR web site under Account Code Look-up.) This number is required on the Temporary Non-Student Employee Hire Form.

4. Unit fills out the Temporary Non-Student Employee Hire Form.

5. Candidate fills out the Temporary Non-Student Employment Application Form.

6. Candidate fills out the following forms if not already on file at NU.  (Department needs to verify I-9 documentation and complete form in person.)

  • I-9
  • Direct deposit form 
  • W4 form  

7. When forms are completed and candidate is ready to begin work, Supervisor sends  following to HRM: 

  • Temporary Non-Student Hire Form
  • Temporary Non-Student Employment Application Form
  • I-9 form
  • direct deposit with voided check
  • W4

*Note: Completed paperwork must be submitted to HRM BEFORE the candidate’s first day of work.

8. HRM e-mails Supervisor a time sheet for candidate with employee ID number that needs to be filled out each week by the employee to verify their hours.
 
9.  Supervisor needs to fill out a summary time sheet and send in to Human Resources/Payroll Operations in 250 Columbus Place, each Monday before 4:00 PM in order for candidate to get paid that week.
