Procedure

Title: Catering Services Requests
Policy / Procedure No: BO003
Purpose: To define procedures for requesting food, and beverage and catering services.
Who Performs: Rebecca's Cafe.
General Information: The Catering Department, services the University community and delivers to any location on the Boston campus. Catering reservations are made by contacting the Catering Department.
Special Instructions: Catering service for all meals, events, and bar service is planned for a maximum of two hours. If the event exceeds the two hour maximum, additional costs are billed to the department booking the event.

The department is billed for any costs incurred by Dining Services if it cancels with less than five business days' notice.

Contact Department: Catering Department, Speare Hall, 10 Speare Place, x2479.

PROCEDURE:

1. Department contact calls the Student Center Scheduling Office at x2632 for room reservations if the event is being hosted in the Curry Student Center.

2. The department contact calls the Conference and Event Planning at x5852 for room reservations if the event is being hosted in the Egan Center. If the event is being hosted elsewhere, the contact calls x2479 for reservations.

3. Department contact calls Building Services at x2757 to confirm room set-up and table requirements.

4. Department contact calls x2479 or goes to Speare Hall, 10 Speare Place to place the order and provides the following information:

  • Contact name and extension

  • Date and time of event (with alternate dates planned)

  • Building and room number of event

  • Approximate number of guests

  • University budget number/billing information

  • Menu, including food and beverages

  • Program requirements, extra needs (flowers, linens, etc.)

  • Special requirements for room set-up

  • Type and nature of function
5. Department contact calls x2479 with guaranteed guest count and any menu changes no later than five business days prior to the date of the event. Menu arrangements should be made at least two weeks prior to the event to Dining Services to procure menu items or specialties desired for each event.

6. Equipment delivered for a catered function must be left and secured in the same location to which it was delivered. If equipment is missing at the time of pickup, the department booking the event is responsible for replacing the missing equipment.

7. Dining Services accepts an event cancellation at no charge to the client if notified at least five business days prior to the date of the event.
